Classflows is an online class booking and management platform operated by Owlhaven Academy Pty Ltd 695 190 491. We provide booking services on behalf of schools and education providers (“Schools”) who use our platform.

2. What information we collect

When you make a booking through Classflows, we collect:

  • Your name, email address, and phone number
  • Your child's first name, last name, and date of birth
  • Booking and payment records
  • Device and usage information (e.g. browser type, pages visited)

Payment card details are collected and processed securely by Stripe and are never stored on our servers.

3. Why we collect it

We use your information to:

  • Process and confirm class bookings
  • Send booking confirmations and payment receipts
  • Allow Schools to manage enrolments and attendance
  • Respond to your enquiries or support requests
  • Comply with legal obligations

4. Children's information

We collect date of birth and names of children solely for the purpose of class enrolment and age eligibility verification. This information is only accessible to the School you are booking with and is not sold or shared with third parties for marketing purposes.

5. Who we share it with

We may share your information with:

  • The School you are booking with — to manage your enrolment
  • Payment processors — to process payments securely
  • Email delivery providers — to send transactional emails
  • Secure cloud database providers — for data storage

We do not sell your personal information to third parties.

We handle personal information in accordance with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs). You have the right to access, correct, or request deletion of your personal information by contacting us.

7. Data retention

We retain your personal information for as long as necessary to provide the services and comply with legal obligations. Booking records are generally retained for 7 years for accounting and legal purposes.

We use industry-standard security measures including encrypted connections (HTTPS), secure cloud infrastructure, and role-based access controls to protect your data.
